Advice please
I am an exec asst for a managing director at a big investment bank. (Yes, I still have a job)
One of the groups that my boss headed was disolved. Most found new positions in the firm and their admin was riffed..
one of the most junior people is still here awaiting his training for a new spot that's in one of our offices in CA. He has to get his expenses in and asked for my help.
I called HR to find out how they want the expenses done.
Since I've been at this job only officers get admin help. He is not one. He's a little self entitled and self important.
I can do one of two things:
Do his expenses and suk it up..although I feel it won't be the last time he asks..he has a whole summer left of training here before he goes.
Tell him to do his own expenses. One of the other junior people came to me last week and asked me to show him how to do them. (Smart) I set up a day next week to show him.
I doubt that his new job will afford him admin assistance. Most non-officers do their own and were offered training on our expense system. The admin that was here before did the expenses..I don't know why, but maybe she wasn't that busy.
Our expense management system is a PIA and it's time consuming. Nobody wants to do it. I still have expenses for my boss that I haven't done yet.

yeah, I'm of that mindset, but I like to be a team player. I'm looking for a way to bow out of this but be helpful as well.
I don't work for a bunch of people in a team setting. I'm a do everything person for a high level manager and her staff which are all high level officers.

I completely agree.
Offer to "train" him with the other (smarter) junior exec on the expense system.

I think showing him how to complete the report is an excellent example of being a team player!! It benefits your supervisor & your company for you to do the work they hired you to do and there's the potential for them to pay it forward.

I know people like that.... 
I would either tell him to sit in with the other coworker next week, or let him know the company policy, and you aren't supposed to do his expenses for him.
Or.... just punch him in the stomach and watch his reaction..... Talk about unexpected!

I agree..

I think you are doing him more of a service by showing him how to do it, once he gets to Cali he will be prepared and you will not hear gripes from the Cali office of how they don't follow procedure in NY, but just my 2 cebts

I'd show him how to do it, and mention that you'd love to help him get started now, so he can get some practice in doing his own expenses before he leaves ,so the people in the CA office don't think the NY people are under-trained.
If he tries to get you to do it alone, just be honest and say that it was great of the ex-admin to do everyone's but you are really only supposed to do the officer's reports & you are kind of back logged on them as it is.

is he the type to mention to your boss that you won't do it for him? You know your boss best - if this was brought to his attention would he care if you did it? Would he expect you to suck it up? Or is your boss a stickler for only doing officer work?
also are you that busy that you absolutely can't? If you have a sweet setup, check out the internet, come on LIF, that's not something I'd want my boss or anyone else wondering how my day was spent if I said I didn't have time to do an expense report.
This happened to me a few times in my career (I worked for CFO) and I have to say that with some of the people they actually were very gracious about my help, some weren't and just expected it.

I agree with you. There's definitely some downtime when things are not so hectic. If I start something like that though, I could get interrupted and then not get back to it for a week depending.
it's time consuming..our system blows..
I don't mind helping anyone at all, this guy will take advantage as he did with the other admin. She admits that it was just easier to do it than to show him..we have trainers who trained everyone. This guy decided he would never have to do it.
eta: this guy wouldn't say anything to her and even if he did I don't think it would have any impact. Not worried.

1st - I know where you work  and I can't believe a company that HUGE wouldn't have a self-help training course online. you have a gazillion ppl working there.
2nd - I would tell him you'd be happy to show him how to do himself and then tell him he can join you next week while you show ____ how to do it.

no online demo..not set up for that. There is a whole manual on it, but we all got trained at various times. It's been a year since the training, it's time for another one to be set up anyway.
I had one of the othe admins do it for him so he wouldn't get charged a late fee since HR was supposed to do it but a month later it was sent back to him..relo related.
She was fine with it..so was he. And now the other guy has some expenses but nothing big and he can wait for the training.
