getting records from old RE
hi all, if you switched practices, did you find that your RE's office gave you trouble in giving you your records? also do you have to pay for the copies? If i switch to a new RE, they are requiring me to get a copy of my IUI cycle sheet from the old RE and so I just wanted to know if this may be a pain. Thanks!

I got records from 2 RE's and did not pay but I have heard that a lot of RE's make you pay 25cent a sheet. Plus it can take 2-4 weeks to get them.

The law allows physicians to charge up to $0.75 per page for records. Most doctors charge this mainly because of the time that it takes for the staff to collect the data (especially for those doctors who are REALLY bad at dictating their notes - I currently manage such a practice). Typically, if you request the records to be sent to another practice, or if that practice sends the request themselves, you won't get charged. Hope that helped!

Well, having been around the block a bit, I'll say that the a-hole LI practices I used charged me per page and took their sweet time. Cornell, RMA, and now moving records around from CCRM for different consults has been easy, breezy and free.

Moving my records was free and easy, but like PP said it varies from clinic to clinic.

It's always good to have a copy of your records, from any specialist... My recommendation to make the process easier would be to request after each test, visit, etc the records for that day - the more often you ask for it the more likely it will be the doc will remember to dictate your records on a regular basis (of course totally depends on the doc). One reason it varies from practice to practice has a lot to do with the implementation of electronic medical records. So many docs are still using paper charts and dictating their records for transcription, and the conversion takes a long time (years in fact). If you request the records along the way, it'll be easier and faster for the staff to get it all together than doing bulk at the end... I'm TERRIBLE at remember to do this with my other docs, but I'm trying REALLY hard to do this for my IF visits.

oh boy. i am sorry some of you had trouble, this is what i am afraid of. Do you think i would have more of a chance getting the cycle sheet quickly by going there in person (versus having them mail it/fax)?

I've had records faxed instead of getting copies mailed or picking them up. I never had to pay bc of that.

I was charged to pick them up in person, but to have everything faxed it was free and was done that day.

to be honest, that MIGHT get the staff on the wrong side of it. I would call and ask what the practice's protocol is for obtaining records - for example, my practice requires the request in writing (it's a neuro practice so charts and notes are quite extensive and time consuming to gather), others are OK with just a verbal. Tell them that you have an appointment on xyz date (I definitely recommend saying its a few days, if not a week, prior to the actual date that you need it), and that you would prefer to be able to pick it up before that date, or if they are amenable and won't charge for it to be faxed. Email is typically NOT an option as it is not HIPAA compliant (it's not considered a secure method of transmission). I wouldn't ask for it to be mailed, it can take way too long and too many issues can happen in transit (you'd be shocked at how much mail gets lost en route).
Good luck - not all practices make it this difficult, but if you are changing docs, they are less inclined to work hard for you (if you know what I mean).

I showed up in person when they were giving me the run around (i.e. sending me to voicemail EVERY time, leaving three messages a day with no call back). I refused to leave until they gave me my records. It worked. Eventually. Didn't have to pay, but I would not have minded - just to be done with them!

When I went for other opinions and had to get 3 years worth of records, I was not charged.

LIIVF requires you fill out a form to get the copies so you have to go in person. I wasn't charged but I was given a big attitude by the front desk girl and she asked a zillion q's about why I needed them. How about because they are MY medical records and I am entitled?!? We needed my husband's records from their urologist, too, so DH went and filled out the form. Of course they lost it and we never got the records - had to go back and do it again. Fun!
eta They said they were going to bill me .75 per page but to be honest I paid them so much $$ for bills they sent I don't even know if I paid that or not.

Yeah, I make patients at least request in writing that they want their records - I actually created a simple form that patients can fill out and if I happen to hear as they're checking out that they want records I make sure my front desk staff has them fill it out and leave it with the chart so the doc knows - he is notorious for waiting forever to dictate notes.

RSof NY charged me around $20 and it took about 2 weeks.. I sent DH to pick them up. I did have to sign a records release form and fax it to their office.
