Looking for an energetic upbeat personality who is organized, flexible, pays attention to detail, can multi-task, prioritize and willing to work overtime if required.

Candidate must have excellent computer skills using the Microsoft Office Suite (word, excel, power point & outlook), Access Software knowledge is a plus; they must possess good interpersonal skills, as well as excellent telephone skills. Previous experience with Contracts and Procurement would be ideal.

Position is currently located in Melville, New York / Long Island, although position might eventually move to New York City and candidate needs to be willing to relocate with the position if and when that occurs.


Scope of Responsibilities

· Support Buildings Operations Team with follow through with the life of a Contract; Track the Contract Life from conception to legal to vendor to completion. obtaining signatures in a timely fashion (via electronic or in person);
· Ability to maintian and update current excel document of Contract Database that needs to have attention to fine detail, accurate data input with dates as well as financial contract dollar amounts.
· A sense of professionalism with confidence to interact with all levels of Management;
· Conduct periodic website inspections to confirm that website links are working correctly
· Create files that coincide with audit requirements, maintian file drawers, update files, review files as well as sending files to off-site storage facility
· Act as a back-up to Administrative Assistant with telephone coverage
· Maintain a high degree of confidentality
· Review the Contract Matrix periodically for expiring agreements.

Technical Skills

· A minimum of 5 years working in an Administritve related environment
· Strong computer skills and Confidence in the Microsoft Suite Products
· Scanning, faxing, copy machine, UPS software
