Vent about an organized playdate

here it goes:
since there are so many of us at my job that have young kids and talk about them, i thought i would organize a playdate at a My Gym type place. first i emailed asking who would be interested, then asking what days, times worked best, and then picked a date and time and booked it. I had 15 ppl saying they would come. so i had to put the full amount of my credit card to hold the room.
now i have several people backing out last minute. which means that either everyone is going to have to pay more (which i feel bad about) or i am going to have to eat the extra cost (i'm on maternity leave and in no position to do this). i'm so frustrated because i made it clear that i was fronting the money and checked the date several times to be sure. so now we are down to 9 people rather than 15 with a possibility of it going down to 8.
ugh.

Why don't you open it up to people here too... so then at least you can get some of your money back? IDK... just thought maybe some people might want to go...

Ugh that is so annoying. I used to help oranize a meetup group and this used to happen all of the time. We had to require payment upfront and no refunds unless someone else took the spot. Thats no fun to do when you are planning something for close friends. I agree, open it up to some of your non-work friends or people on here to recoop some of the money. You can also change the venue to a place like Chuck-e-cheese or somehwere with open play.

I agree with this.

Sometimes things like that are not within a parents control. For example, I have a weekly playgroup we are part of in my town. Last week, I had to cancel at the last minute because DD seemed like she had a cold and we all also have newborns. I didn't want to expose not only the kids DD's age, but especially the newborns to DD. Obviously, it wasn't exactly the same situation as we switch off eachother's houses, but even if not, I still would have backed out at the last minute.

I would make them pay you. Sorry you can't go, but you committed and knew I was fronting the money so pony up.

I agree with this.

Yesh, but if you backed out on a place that cost money as opposed to a home, I'm sure you would offer to cover your share since it's not the organizer's fault your child got sick.
