taking days off at work
When you request a day off at work or a full week etc- do you just request it through your time system or do put the request in as well as follow up with an email/speak with your supervisor?
At my job we use ADP, so you put in the request but I also typically follow up especially if I don't get the approved message back quickly.
The reason I am asking is that one of the employees that I supervise requests time off and then doesn't ever say anything to me. I can understand if it quite a bit in advance but the last time was on a Friday she put in for Tues- Fri of the next week when she had already approved for the Monday of the week off. She was then going to be off a whole week which typically needs a little bit of advance notice so we can know what to cover. The 2nd time, she put in for a Monday off on the Thursday before. I didn't see the request come in. I was speaking with her on Friday and said something like we'll talk about it on Monday and she said I'm off Monday. It was at the end of the day. If we hadn't been speaking, I would have had no idea she was off on Monday Is this typical?

We have to email our boss first with the request. Then if she says ok, we put it on the shared outlook calendar so the team can see it when they go to request a day(can only have a certain amount of people off at a time) and then have to enter it in Workday so we get paid for the day. (the system my job uses)

We usually just send a meeting to put it on everyones Outlook Calendars. if its a week off, its done in advance but sometimes a day off is last minute. But, if I am off for a number of days for vacation, I typically bring my computer with me as there are things that nobody else on my team knows how to do. If its just a day or two, people can wait. I also have an idea as to when things are busier - if I have to take off when I have a deliverable - I make sure to mention that in advance as well.

We have to ask in advance. If it's just a day or two, it can be last-minute, but a week should be in advance. Our timesheet system doesn't have the option to put in vacations in advance. You would just put Vacation for that day when you're doing your timesheet for the pay period.

We put the request in and it gets approved, but our supervisor never acknowledges it. I usually just send the supervisor an email as a reminder that I’ll be off before the date just to cover myself and have it in writing. I also add it to my Outlook calendar and the calendar on my desk.

Our time off requests have to be approved by our manager. So I put the request in and my boss gets an email that he has a PTO request to approve. So the managers are made aware of all time off requests since they have to approve them in the time system

Something like this happened recently at my job. A other employee put in for vacation which never got approved and the manager wasnt aware until he called the employee and the employee told him he was getting on a plane. My immediate team is 4 people, so we usually check in with each other if we are planning vacation or days off to make sure we have coverage and once its figured out we put it into the system for HR to keep track. We are all pretty good with reminding each other if we have days off coming up so noone is blindsided.

I teach. We use an online system to put in our sick/personal days. I never mention it to principal or AP. I usually let my Dept Head know the day before if I see her. Otherwise, I don’t tell anyone.

We have to have that approved ahead of time by the supervisor. The system will let you put in anything you want, but boss has to approve

I think you need to have a separate talk with the employee and tell her you need advanced notice when taking days off. It’s not an unreasonable request

Sounds like your system is like mine. I submit through our time management program. I only reach out to my boss if the request is the same week or a Monday request on a Thursday/Friday. But yes, it's weird that they don't say anything.

We have a time system at work. I enter my time off through the system and that's it. It's never mentioned. I try to give as much notice as possible, but with small kids.. there are times it's only a day or 2 beforehand.

If its last min I will let my boss know but otherwise we input our time in a PTO system that our boss has to approve (although the last one I put in I don't think she did but I took off anyway lol).

If you would like your employee to let you know when they are submitting time off, why don't you just ask them to give you a heads up as a courtesy.
