How to handle employee...

I manage an office- I have 20 employees- 2 of them are supervisors when I am not in - well one of them has called out the past 4 Halloween's....

I am not sure how to handle her or even if it's worth saying anything, as a manager my staff always has the ability to go to Labor relations and complain about me- this is something I would never want to happen - but at the same time I feel like I want her to know I am aware she has done this for 4 years....

I would haven given her the day off if she had just asked, my frustration is she doesn't ask so then I approve someone else - so her calling out puts the office in a bind...

People suck

Calling out 4 Halloweens in a row is definitely suspicious. I would just be honest and let her know, hey, if you need Halloween off I don't have a problem with it, but just let me know in advance so I can ensure we have coverage...

I don't know what field you're in but would you be able to say going forward please put in a vacation request for "holidays" or otherwise I will need a Dr's. note if you keep calling out sick?

Do you have a union? Halloween isn’t considered a “holiday” so in all honesty if she’s calling in and you don’t require a doctors note, I don’t think you can say/ do anything. Depends on what your call in policy is. In my job, we can’t call in if it’s a major holiday unless we have a note and even then, that can get sticky. Any other time, I can call in and they can’t ask me why or deny a call in because I have union protection. Only other time it is an issue is if you put in for the day, we’re denied because someone else put in and then call in, that’s a big issue

Do you have an HR? I would bring this up to HR, and ask for a specific policy change, where if any employee asked for a specific date off multiple times without having it cleared before hand, and no doctor's note, they will be written up. I don't think you can make this retroactive, but going forward this should be a thing.

Yes, she sucks. Does she have any vacation days? Can't she just use those? A heads up would be nice. On the bright side, she probably won't do it the next 2 years though since Halloween will be on a Sat and Sun. I'd probably let this one go as it really isn't worth the drama.

Generally, employers have a management right to control employee absenteeism and take action or question cases of suspected abuse. It would certainly help if your company had a policy on sickness since it’s important to be consistent and not single employees out. Calling out sick on the same holiday 4 years in a row is a pattern of suspected abuse. At the very least you should be having a conversation with her about the pattern and that going forward she’s expected to request the day off in advance or bring in a doctor’s note if she calls out sick on that day.

You mentioned Labor Relations. Do you work in a union environment? If so, Labor Relations or even HR should be able to guide you on how to handle this situation.

Agreed. I don't think it's worth it to say anything now. If Halloween were on a weekday next year I might approach her before hand and ask if she needs the day off so you can work out coverage, but you've got another 3 years before this comes around again.

She's being dishonest. You should not worry about her going to complain about you. You should be documenting this issue first. That's part of being a manager, so you need to manage her.

Sorry to sound harsh, but you need to handle this. 4 years is 2 years too many.

I’m not saying I agree with what she’s doing, but it’s probably because if she requests the day she has the possibility of being denied.

I’ve taken every Halloween off since having a kid. I don’t think it’s weird to want off, particularly if she has kids. But yeah, why not ask?

TBH, if she does a good job otherwise I’d roll my eyes and carry on. I wouldn’t want to risk losing a good employee over one day a year.

Same. At my old job, I probably wouldn’t have been able to get the day off or out early for Halloween since others would’ve wanted to. So it would either be call out or go to work.

At my new job of three weeks we all left early.

Does she have available sick days? In my job we get 6 sick days a year. We can’t bank them and carry them forward. So everyone tends to get sick at the end of the year. We do not need to provide a doctors note until we are out 3 or more days. If management has a problem with people calling in sick towards the end of the year they would change their policy.

I don’t see anything wrong with it. Our sick days are part of our PTO.

At this point I’d just assume she’s calling in sick every Halloween. If she has the time to cover it and doesn’t call out excessively otherwise, what can you do? It’s a little dumb she didn’t realize you’d notice the pattern so why not say something so she knows you know and then maybe she’ll think twice next time... but I think demanding a doctors note for the day is silly & I’d think that supervisor was a jerk. That’s my take on it.

The big deal is when an employee calls out unexpectedly , it effects the entire staff for the day. If she has the day scheduled, management has a chance to prepare for the day in advance.

I take it you don’t own a business. You’d understand the difference

I take it off every year. The kids have school events. They do a pumpkin patch, scarecrow making, and my little one has a parade at daycare. I use a vacation day though....

So she wants to use a sick day instead of a vacation day. I think most people have used a “sick” day for a day off at some point. Her date of choice is just more noticeable. In my job we are heavily inconvenienced when someone calls out sick so I 1000% get that, but it’s their sick days to use when they want, it’s part of the benefits package.

For the record, I haven’t used a sick day in 3 years but I wouldn’t think twice if I needed to(or just wanted to) and don’t begrudge those who used them.

Assuming that this employer doesn’t have PTO time, which can generally be used for any reason, sick time is supposed to be used when sick not when someone feels like taking a day off with little to no notice. It can put a strain on the office and impact planning, etc. If an employer intended people to use up the time every year regardless of whether they were sick, it would be a PTO benefit not split up among sick time, vacation time and possibly personal days. Regardless of whether the person takes off one “holiday” or a birthday, it should be requested as a vacation day not a last minute sick day. I think that’s inconsiderate and if the employee does this each year, it should be addressed.

I manage a very small department. Trust me when one of us is out whether expected or not it is a big deal. However, my firm does not allow us to carry over or be paid out for sick time. Therefore I will take every day I am entitled to - whether sick or not. We also get vacation and personal days. Vacation days must be scheduled in advance. Personal days do not. I would never begrudge any of my employees a day off whether scheduled or not. Happy employees are more productive employees. Hey I take off every year for my birthday. Some years I schedule it some years I use a sick or personal day. My supervisor expects it each year and plans accordingly.

Again, if your employer intended them to be use or lose days, it would be PTO not sick time. Sick time is essentially an insurance policy: there if you need the time, but shouldn’t be used if you’re not sick. Despite your personal opinion on the subject, you’re not entitled to use them if you’re not sick. If you could use them for whatever reason, they wouldn’t be characterized as sick days.
